HOW TO ORGANIZE A ONLINE ACADEMIC CONFERENCE

The following advice from the lessons learned can be helpful to those considering holding a conference at your institution this summer. It might need to abandon the idea completely.

Make sure you are using the correct timing. We wanted to make sure that every Canadian institution was able to participate in normal office hours. Therefore, we altered the format of the conference from the traditional two-day schedule in person to a four-day schedule. This meant for some, the conference would take place in the morning, while for others, it was in the afternoon. A conference that is held for a brief period of time allows for greater focus and energy; however, the main reason why they are organized in this manner is to accommodate the needs of those who may be confined in their time away from their home base. If it is conducted online, a “conference” can be redefined. Sessions can be scheduled at the same time or two times on a particular day for several months or weeks such as.

Make it simple and easy to use. If this is an institutional event, make use of an online learning platform or teleconferencing service available. We partnered with several institutions and decided to utilize Big Blue Button (BBB) as our platform. It was not necessary for users to download any software, and BBB was able to offer technical assistance and training to presenters ahead of the conference.

Social networking and random conversations are among the most frequently discussed benefits of conferences. We advised institutions to organize meetings in person during the conference. Many institutions hosted friends from the community for lively discussions and discussions. In times of the outbreak, think about creating virtual groups which meet prior to as well as after the event to facilitate more discussions that are focused on local concerns.

The virtual host was present for each session and was capable of dealing with technical problems. Although the majority of sessions were smooth, it’s possible to say that there were some problems that we’d like to avoid at a subsequent online conference, however it’s not possible to ensure a smooth and trouble-free experience. Presenters and virtual room hosts were required to participate in the training sessions that were available at various times. Participants and presenters were provided with online instructions.

Allow users to access prior to accessing the website. We provided practice rooms for presenters and attendees so they could test the platform ahead of time. We provided videos of welcome from the executive and an online acknowledgement of land to where people could make contributions.

Connect with us throughout as well after the conference. We contacted participants each morning with an announcement, welcome message, and clickable, easy hyperlinks so that they could connect. As the conference was online, it’s simple to give access to the information following the conference.

It’s not a cost-effective alternative. Yes, costs are considerably lower than an in-person event, however, they’re not removed. The platform might be charged for instance or keynote speakers might receive a fee.
